TeamTailor Integration for Background Checks

The TeamTailor integration allows you to automatically create background check orders in the Svensk Bakgrundsanalys portal when candidates are moved to a specific stage in your recruitment flow. In addition to background checks, you can also order document verification and other services you have purchased through the integration.

Getting Started

Step 1: Enable the Integration

Contact Svensk Bakgrundsanalys to enable the TeamTailor integration on your account:

Once the integration is enabled, you can generate API credentials.

Step 2: Generate API Credentials

You can generate your credentials in the Svensk Bakgrundsanalys portal, or ask our support team to assist you.
1. Log in to the portal at portal.bakgrundsanalys.se
2. Navigate to My ProfileOrganizationAPI tab
3. Click “Generate new API key”
4. Save your Client ID and Client Secret

Important: The Client Secret is only shown once. Download the credentials file for safekeeping.

Step 3: Activate the Integration in TeamTailor

1. In TeamTailor, click on your company name (top right corner) and go to Marketplace

2. Search for Svensk Bakgrundsanalys and click on the card

3. Click “Activate”

4. Select your preferred Language (Svenska or English) – this determines the language of all integration labels and messages

5. Enter your Client ID and Client Secret

6. Click “Activate” to complete the setup

The integration is now ready to use.

Setting Up Candidate Identification

Before triggering background checks, candidates need to have identification information available. Depending on the candidate type, this can be:

  • Personal number (personnummer) – for Swedish residents
  • Coordination number (samordningsnummer) – for non-residents with Swedish coordination number
  • Date of birth – for foreign candidates without Swedish identification
Creating Custom Fields in TeamTailor

To capture this information, create custom fields in TeamTailor:

1.Go to SettingsCustom Fields in TeamTailor

2. Create the relevant field(s):
personal-number – for personal numbers
coordination-number – for coordination numbers
– date-of-birth – for date of birth

Adding Identification to Candidates

You have two options:

Option 1: Manual entry Enter the identification directly on the candidate’s profile in the custom field before moving them to the background check stage.

Option 2: Candidate self-service (optional) Set up a message trigger in an earlier stage asking candidates to provide their personal number. Include the word “personnummer” in the message text.

Using the Integration

Automated Triggers

Set up automatic background checks when candidates reach a specific stage:
1. Open a Job or Job Template in TeamTailor
2. Navigate to the Stages view
3. Click the trigger icon on the desired stage
4. Select “Initiera Svensk Bakgrundsanalys bakgrundskontroll”

5. Configure the trigger:
Product (required): Select the background check product
Billing Account: Select which account to charge (only shown if you have multiple billing accounts)
Order Type: Select the appropriate candidate identification type (only shown if the selected product supports multiple identification types)

6. Click “Add trigger”

When a candidate is moved to this stage, the background check is automatically initiated.

Manual Trigger

You can also trigger background checks manually for individual candidates:
1. Open the candidate profile
2. Click the three-dot menu (⋯)

3. Select “Add integrations”

4. Choose Svensk Bakgrundsanalys
5. Configure the product and options
6. Click to initiate the background check
You can also use the bulk feature to manually trigger the integration on multiple candidates at once.

Viewing Results

Status Updates
Track the background check progress on the candidate card:

Status

Meaning

Sent

Background check initiated successfully

Failed

Error occurred – check the error message

Completed

Results are ready

Viewing the Report

When the status shows “Completed”, click “See results” to view the full report in the Svensk Bakgrundsanalys portal.

Results include a grade indicator showing the overall assessment: – Green: No deviations – Yellow: Deviations found – Red: Significant deviations

Yes, you can set up triggers for all products available on your account, including document verification and other services.

The integration supports multiple identification types: personal number, coordination number, and date of birth for foreign candidates. Select the appropriate order type when configuring your trigger.
